The Show Office will be set up at Lansdowne Park, Aberdeen Pavilion, on Saturday September 17, 2011, at 8am and management will be available to assist you for the duration of the Show. Saturday, September 17, 2011 9:00 am - 8:00 pm For Safety and Security, exhibitors will not be permitted to set up during show hours. DIRECTIONS TO LOADING DOCKS: Enter Lansdowne Park off of Bank St. and follow signs to the Aberdeen Pavilion. The loading docks are located on the north and east sides of the building. Note that there is not dock level access to unload any trucks, so all trucks must be equipped with a pump truck to move your shipment to the back of the truck for unloading. We recommend that trucks have a tailgate to ensure your material will be off loaded quickly.
SHIPPING AND DELIVERIES TO THE SHOW
NOTE: Lansdowne Park will not accept shipments prior to the show move in. Please plan to have your shipments arrive on September 17, 2011. The most cost effective way to ship your items to the show, is to arrange delivery for Saturday September 17, 2011, during move in hours. You can use our show shipping company (YRC Reimer - see details below) or your own preferred shipper. Freight Carrier. Show Management will sign for the delivery on your behalf on Saturday September 17, 2011. Your materials will be left at the dock until you arrive. Lansdowne Park has teamed up with Rogers Communications and BOLDstreet Wireless to offer high-speed Internet access throughout Lansdowne Park. Exhibitors taking part in shows and other events at Lansdowne Park can now order high-speed Internet services for events taking place within Lansdowne Park. Services are available for wireless computers and devices (those enabled with 802.11 b/g network card or adapter), as well as non-wireless devices (those that typically plug into a wall jack for internet access). We have a block of rooms available at the Sheraton Ottawa Hotel. Sheraton Ottawa Hotel The rate of $119. 00 for a single/ double occupancy is guaranteed until August 17, 2011, after which time, reservations will be accepted at the best available rate, subject to availability. When booking, please identify yourself as being a part of the room block for National Event Management.

Parking at Lansdowne Park is free on move-in day. Paid parking is in effect on show days at the rate of $5.00 per day.
If you require AV equipment in your booth, AVW.TELAV is able to supply that for you. Please complete the attached form and return no less than 5 days prior to the event to avoid additional charges.
SIGNAGE No signage or material may be extended above the 8ft height at the back of your booth nor hung from the ceiling or across the aisle, without approval from Show Management. Because of the structure in the Aberdeen Pavilion there may be some limitations regarding hanging signs. Please speak with your sales rep. for details and costs. We will do our best to meet your requirements.
STORAGE Storage will be available on site.
Personalized exhibitor badges, for booth staff only, will be available for pick up at the registration desk on move-in day. Identification will be required to pick up a badge. For security reasons and to gain entrance, badges must be worn throughout show hours.
The service of a customs brokerage firm is strongly recommended for all shipments originating outside of Canada. This will eliminate the possibility of materials being held at the border by Canada Customs due to improper or insufficient documentation resulting in these materials arriving too late or not at all. Livingston Event Logistics is the official customs broker for the Show. Commercial goods going to the event by personal vehicle or hand-carried during transport, must clear at port of entry into Canada. Exhibitors and attendees should also submit a list of goods, with values indicated, or a Canada Customs Invoice listing the goods that they will be temporarily importing. National Event Management Inc., will not assume responsibility for losses or damages incurred from pilferage or any other causes. Exhibitors should take all possible precautions to protect their own property, including insurance for liability within your booth space.
Booth Display & Restrictions No exhibit may exceed a maximum height of 8 ft. Side panels 8 ft. high, must not exceed a depth of 4 ft. extending from the back of the display. The remainder of the 4 ft depth from the front of the booth, must not exceed a 4ft. height. Any exception to this must have pre-approval from Show Management. Prefab booth partitions must be finished on both sides. If they are not, please request drapes prior to the show. All booths must have some type of floor covering.
Demonstrations/Distributions Displays, demonstrations or distribution of advertising materials, are not permitted outside the confines of your booth. The use of microphones is not permitted without prior management approval.
Fire Regulations National Event Management is obligated to abide by the Fire Code regulations in each city. We therefore retain the right to refuse any material or object that does not confirm to code. Animals No pets other than guide dogs for the blind are allowed in the show.
Helium Balloons If you plan on using helium balloons as decoration in your booth you must get approval from Show Management. If any balloons come free, there could be a retrieval fee, which you will be responsible for.
